The opportunity

We are looking for a highly organised and effective Digital Programme Coordinator who is motivated by programme improvement, and a focus on systematic and efficient processes. We are part of Bloomsbury Digital Resources (BDR), which sits within the wider Bloomsbury Academic and Professional Division.

You will be joining a dynamic, growing and friendly team, who are re-imagining Bloomsbury’s academic publishing for a digital environment. As the Digital Programme Coordinator, you will play a key role in creating an environment in which teams can deliver innovative digital products efficiently and effectively. Reporting to the Programme Delivery Director, you will work with stakeholders across BDR and the Academic division to review current processes, and recommend and implement change where needed.

The role

The Digital Programme Coordinator will play a key role in ensuring the best use of information in our systems, with the following aims:

  • to enable staff to work efficiently and effectively
  • optimise content delivery
  • to create transparency around all stages of content processing for internal stakeholders
  • to improve early awareness of products and updates across our academic portfolio for customers.

Under the guidance of the Programme Delivery Director, the Digital Programme Coordinator will be charged with reviewing existing processes, suggesting and implementing new ones, and ensuring compliance.

Improving information flows and productivity:

  • Work with stakeholders across BDR and the broader Academic business to understand and improve information flows, for example to ensure customers have all the information they require about new products as far in advance of go-live as possible and in line with market expectations.
  • Support the Programme Delivery Director with implementing improvements to workflows, including digital-first and article-based workflow initiatives, that will help us continue to grow our Product portfolio.
  • Maintain documentation related to workflows.

Scheduling and reporting:

  • Build and maintain schedule templates for different product types and workflows, in liaison with Programme Delivery Director and Product Innovation team.
  • Work with Product Innovation team to maintain rolling schedules to ensure Digital Production and Content Architecture teams know when to expect content, and troubleshoot any issues as they arise.
  • Highlight potential risks to delivery and propose solutions.
  • Maintain publication date and project status information for the product pipeline in our bibliographic database.
  • Develop and circulate reports, as requested – including exceptions reports; follow up with cross-divisional stakeholders to ensure compliance.

Resourcing and outsourcing:

  • Work with the Product Innovation team to prepare vendor briefing documents to enable faster processing of content through more flexible resourcing solutions.
  • Act as point of liaison for vendor queries on outsourced Product work and escalate queries to the Product Innovation team or Digital Production, as required.
  • Help to maintain resourcing information for product pipeline.

Documentation:

  • Maintain the BDR wiki, working with team members across BDR to ensure information is up to date.
  • Coordinate the Wiki Superuser group to perform quarterly audits.
  • Streamline and manage our templates to ensure smooth and consistent operations and a more standardised approach.
  • Working with Product Innovation team, to ensure workflow and processes documents are up to date.
  • Monitor and track new product checklists, making sure that each product due for launch has a signed-off checklist.
  • Work with Editorial and Product Innovation teams to standardise and maintain handover documents.

Knowledge, skills and experience

Essential:

  • Highly organised, with ability to prioritise effectively and escalate issues where required.
  • Excellent time management skills.
  • Strong IT skills, especially MS Word and Excel.
  • Logical thinker and problem solver.
  • Can-do, flexible attitude with a willingness to learn, particularly in relation to systems/platforms.
  • Confident and effective spoken and written communicator.
  • Understanding of digital product development and publishing processes.

Desirable:

  • Experience of working with a range of stakeholders, including across functions, to deliver results.
  • Experience of working with and instructing vendors and freelancers.
  • Familiarity with wikitext, CMSs and Biblio or similar bibliographic databases.
  • Understanding of the needs of the academic library market and library systems.
  • Change management experience.

The role is a full-time permanent position and can be based either at our London office 50 Bedford Square, London, WC1B 3DP or at our Oxford office, Kemp House, Chawley Park, Cumnor Hill, Oxford OX2 9PH.

We offer a hybrid working pattern of 2 days office based / 3 days home based (or fully office based if preferred). Allocated office days for this role are: Wednesday and Thursday. Currently, we are advised to work from home (with some availability for office working if needed). Return-to-office arrangements are under ongoing review.
